How to ask for your GymFront Members account and data to be deleted, and what happens when you do.
Last updated 2 October 2026
This page is for members of a gym that uses the GymFront Members app, built by TmT Software. For everything else we do with your information, see the member app privacy notice.
Delete your account in the app
- Open GymFront Members and sign in.
- Go to Account → Closing your account → Delete account.
- Confirm. You can add a reason if you like; it is optional. The app shows you the date your account will be deleted.
- Nothing is deleted straight away. You have 7 days to change your mind. To cancel, go back to the same screen in the app and withdraw the request.
- As soon as you ask, you stop receiving marketing email, even if you later cancel.
- After the 7 days, your account is deleted by an automated job that runs nightly, so it can take a little longer than 7 days to complete.
- If you are in a minimum-term membership, deletion waits until that term has ended, because your gym still needs your details to provide the membership you signed up for. The app shows you the date.
- Deletion is per gym. It removes your membership account at that gym only. If you are a member at another gym that uses GymFront, that membership is not affected and you would delete it separately.
Ask without the app
If you can no longer use the app, contact your gym. Your gym is responsible for your membership information (the “controller” under UK data protection law), and GymFront runs the system on its behalf as its “processor”. Ask the gym to delete your member account.
You can also email info@gymfront.app from the email address on your account, say which gym you belong to, and we will pass your request to your gym and help them respond.
What is deleted
When the deletion runs for your account at a gym:
- Your name is replaced with “Archived Member” and your email address with a placeholder. Your phone number, date of birth, address and emergency contact are erased.
- Your Direct Debit subscriptions and mandate are cancelled, and your customer record at the Direct Debit provider is removed.
- Your door access stops: your QR code and any card or PIN credentials are revoked, and any future class bookings are cancelled.
- Your sign-in is removed from that gym. If it was your only gym, your sign-in account is deleted, and you can no longer sign in.
What is kept, and for how long
- Payment, refund and invoice records, and the record of the agreement you accepted: kept for as long as the law requires, usually six years, because your gym must keep them for tax, accounting and contract purposes. After your account is deleted they are no longer linked to your name or contact details.
- Door entries, visits and class bookings: these are not removed at the moment of deletion. They are cleared automatically after 12 months.
- Your gym’s staff notes about you: kept for up to 2 years after your membership ends. A note that forms part of an incident record is kept for 6 years.
- Marketing preferences: kept for 24 months after your membership ends, so that we keep honouring your choice not to be contacted.
- A short record that your account was deleted (what was cancelled, and when), kept by your gym for its records.
Where your gym keeps your membership record for longer, it is kept in anonymised form once the six-year period ends.
Questions or complaints
Contact your gym first, or email info@gymfront.app. If you are unhappy with how a request has been handled, you can complain to the Information Commissioner’s Office at ico.org.uk. Your other rights are in the member app privacy notice.
